How We Place and Measure Brand Mentions

Every engagement follows the same six steps, from a free AI visibility check before anything is placed to re-checks across the engines afterwards. We report every live URL and its indexing status, measure how often AI names you, and say plainly what we cannot control, because AI answers vary from one run to the next.

Every engagement follows the same six steps: measure where you stand, agree your brand facts, write mentions in context, place them on real indexed publications, report every live URL and its indexing status, and measure again. The order matters. Measuring first gives an honest baseline, and measuring after is the only way to know whether the work changed what AI engines say about you.

What are the six steps?

Step What happens What you get
1. AI visibility check We ask the engines the questions your buyers ask Where you are named, where you are missing, who is named instead
2. Brand facts You approve one set of facts about your brand One consistent description used in every mention
3. Writing in context We write each mention next to your category, use case and market Mentions that read as real editorial content
4. Placement Mentions are published on real, indexed publications First mentions typically live within 30 minutes of kickoff
5. Reporting Every placement is reported The live URL and indexing status of each one
6. Re-checks We ask the same questions again Changes in mention rate, position and citations

Step 1: Why do we measure before we place anything?

Because you cannot judge a change without a starting point. The free AI visibility check builds a prompt set from the questions your buyers actually ask, such as “what is the best accounting software for freelancers in Canada?” or “which running shoe brands are good for wide feet?” (illustrations, not client data). We put those prompts to ChatGPT, Gemini, Perplexity and Google’s AI features and record three things for each answer: whether your brand is mentioned, its position in any list, and whether a page about you is cited as a source.

Each prompt is run more than once. That is not caution for its own sake. In a SparkToro and Gumshoe study, volunteers ran the same prompts thousands of times and found less than a 1 in 100 chance that ChatGPT or Google’s AI would give the same list of brands in any two runs. A single screenshot proves very little. A mention rate across many prompts and runs is a far steadier measure. The guide on how to measure your brand’s AI visibility shows how to run the same kind of check yourself.

Step 2: Why do you approve your brand facts once?

AI engines build their picture of a brand from what many sources say. If ten publications describe you ten different ways, the engines have nothing consistent to repeat, and a wrong detail can spread. So before anything is written, you approve one set of facts: what the brand is, its category, what it is used for, who it serves, where it operates and the official name and spelling. Every mention draws from that set.

We never invent facts to fill gaps. No made-up awards, customer numbers, rankings or claims, and no fake reviews or testimonials. If a fact is not approved, it is not written.

Step 3: What does “in context” mean?

A mention in context places your brand name next to the words that define what you do: your category, the use case, the market. An engine that reads “a Lisbon bakery known for gluten-free pastéis de nata” learns far more than one that reads a bare name in a list of links. This co-occurrence of brand and topic is what lets an engine connect you to the questions buyers ask. That is why we talk about the topics you want to be known for: engines work with meaning, not only exact phrases. The guide on how the words around your name shape AI answers goes into detail.

Each mention is written as real, useful content for the publication’s own readers, and where a placement is paid it carries whatever label the publisher’s rules and local disclosure law require. Both points are covered below.

Step 4: Where are mentions placed?

On real, indexed publications from a large private network across many niches, countries and languages. We do not name the network, its owner or its size. What matters to you is that each publication is real, that it is indexed, and that its topic fits yours. Indexing matters because retrieval depends on it: Google says a page must be indexed and eligible to be shown with a snippet before it can appear as a supporting link in AI Overviews or AI Mode.

First mentions typically go live within 30 minutes of kickoff, and more are added over time at a pace agreed with you. “Live” means published. It does not mean an engine has read it yet.

Step 5: What do we report?

Every placement comes with its live URL, so you can open and read each mention yourself, and its indexing status, so you know whether search engines have it. If a page is not indexed, we tell you rather than counting it. A provider who cannot show you live, indexed URLs is not giving you anything you can check; the guide to red flags when buying brand mentions lists the other warning signs.

Step 6: How do we measure the result?

We run the same prompt set again, across ChatGPT, Gemini, Perplexity and AI Overviews, and compare against the baseline: mention rate, position when you are named, and whether you are cited. Where useful, we also compare your share of answers against the competitors named in step 1.

These numbers move, and we say so. Ahrefs found an AI Overview has a 70% chance of changing between observations, so a single re-check is a snapshot, not a verdict. Pickup by each engine depends on indexing, retrieval and model updates, varies by engine and topic, and no one can honestly promise a date. Results are measured, not promised.

What do we not measure or control?

We cannot see inside any AI engine’s ranking systems, and nobody outside those companies can. We cannot control when a model is retrained, which search provider an assistant queries, or how an answer is worded on a given day. Some engines also rely on crawlers your own site may block; if your robots.txt blocks OAI-SearchBot, OpenAI says your pages will not be shown in ChatGPT search answers, whatever is written about you elsewhere.

Mentions help engines know you. Being named near the top of a recommendation is a further step, handled by our sister service TheBlueOceanGPT.com for brands ready for it.

What will we not do?

  • No fake reviews, testimonials or invented claims. These break consumer protection law in many markets and are never part of our work.
  • No attacks on competitors. Mentions are about your brand, not against anyone else.
  • No illegal products or misleading promises. We do not promote products that are illegal in the target market, and we do not make misleading health or financial claims.
  • No undisclosed paid content. Paid placements are labeled the way each publisher and market requires; we do not dress up advertising as independent editorial.
  • No mentions on your own site. Mentions sit on independent publications.
  • No hidden paid links. Google’s spam policies treat paid links that pass ranking credit as link spam, and accept them when qualified with rel=”sponsored” or rel=”nofollow”. Where a link is included, we mark it with rel=”sponsored” or nofollow.
  • No content made to borrow a host site’s rankings. Google’s policy on site reputation abuse targets third-party content published mainly to exploit a host site’s ranking signals. Mentions written as editorial content for a publication’s own readers are a different thing, and that is the only kind we write.

Placements follow each publisher’s rules and the disclosure rules of each market. Disclosure law differs between countries; this is general information, not legal advice. The guide on paid brand mentions, disclosure rules and Google’s link policies covers the details.

What to do next

Frequently asked questions

Do you measure AI visibility before you place any mentions?

Yes. Every engagement starts with a free AI visibility check. We ask ChatGPT, Gemini, Perplexity and Google's AI features the questions your buyers ask, run them more than once because answers vary, and record whether you are named, where, and whether you are cited. That baseline is what later re-checks are compared against, so progress is measured rather than assumed.

Which publications do you place mentions on?

Real, indexed publications from a large private network across many niches, countries and languages. We do not name the network or its owner, and we do not publish its size. What you see is what matters for your brand: the live URL of every placement, so you can read each mention yourself, and its indexing status, so you know whether search engines and AI tools can find it.

How fast do mentions go live, and how fast does AI pick them up?

First mentions typically go live, meaning published, within 30 minutes of kickoff, and more are added over time. Pickup by AI engines is a separate question. It depends on indexing, retrieval and model updates, varies by engine and topic, and nobody can honestly promise a date. That is why we re-check AI visibility afterwards instead of promising an outcome.

Are paid mentions allowed under Google's rules?

Paid placements are allowed when they are handled properly. Google's spam policies treat paid links that pass ranking credit as link spam, but accept them when marked rel="sponsored" or rel="nofollow". Disclosure law also applies in many markets. Where a link is included, we mark it accordingly and follow each publisher's rules. This is general information, not legal advice.

Do you tell me how you price an engagement?

Pricing is not published. Each engagement is sized to your topics, markets and pace, after your free AI visibility check, and discussed on the call. This page describes the steps every engagement follows, what we report and what we will not do, so you can judge the method before any conversation about scope.
